Limiting the Archive Search with Posting Data
Using the archive search, it is possible to search any transactions, including saved transactions and those still in workflow. The archive search does not support searching for incomplete transactions. It is possible to filter the search by using a number of search criteria. Some search criteria are common for all transactions and some are based on transaction types.
Archive search rights can be limited as follows:
- The Search function must be enabled on the Functions tab of the User Profiles function.
- Users can search the data for only those companies which are defined on the Users page.
- The Archive search Transaction Type list only displays those transaction types that have archived data.Note: In addition, the transaction type being searched must be enabled in the user's user profile (the User Profiles page in the User Profiles function). The user profile transaction types only limit the archive search rights. Archiving rights are not limited based on transaction types.
- In the Organization Structure function the search rights of applications' internal transactions are defined in the Rights in Archive Search group.
In Organization Structure search rights can be extended (for each transaction type) to also cover, in addition to self-processed transactions, the transactions of units, sub-units, and the entire company. Archive search rights for other than the application's internal transactions are defined on the user profile's Transaction Types tab.
