Removal of Transactions from the Archive

It is possible to mark transactions of any type as deleted from the archive. However, the transactions are not really removed from the archive. When performing an archive search, you can search for transactions that are marked as deleted. Deleted transactions are also shown in permanent archives as deleted transactions.

Deleting a Transaction

The page showing the data for an archived transaction contains a Delete button.

The Delete function is available if the user profile specifies a right to delete transactions. A permanently archived transaction cannot be marked as deleted.

After clicking Delete, a confirmation is required: "The transaction is marked as deleted from the archive. Do you want to continue? [Yes] [No]". If the answer is No, the deletion is interrupted. A comment is entered for the deleted transaction detailing, for example, why the transaction was deleted.

It is compulsory to enter a comment, and a blank comment is not allowed. A note of the deletion is made in the transaction workflow.

Searching the Archive for Deleted Transactions

For all transaction types, it is possible to search for transactions that are marked as deleted by switching on the option Search for items marked as deleted.

If the option in question is switched on, the archive search is directed only at deleted transactions. The user that performs a search for deleted transactions does not need any specific rights. Any user that has the right to perform an archive search can also search for deleted transactions.

Restoring to the Archive

Events that have been marked as deleted can be restored to the archive. The restoration can be performed by a user that has the right to delete events from the archive. The restoration is performed with the Restore button on the page of the deleted transaction.

A comment is required also for restored transactions and a record regarding the restoration is made in workflow. If a transaction is archived again, it cannot be restored.

Permanent Archive

Transactions that are removed from the archive are included upon permanent archiving, in other words, they are also permanently archived.

On the main page of the Permanent archive, the number of transactions for each transaction type is shown, both for normal transactions and for deleted transactions. Both are shown as a link from which a list of archived transactions can be opened. If there are no deleted transactions, nothing about deleted transactions is shown on the main page.
