Archive Settings

Archive Settings can be selected as general settings, for groups of companies or separately for each company. The System level, i.e. the general level, is almost always used. In ASP environments only, it may be necessary to use company or company group levels if the user wants the archive or source directories of different companies or company groups to be located on separate servers for data security or other reasons.

Archive Directory

When the archive directory is defined as general, each company's material is saved in its own subdirectory underneath this directory according to following directory structure:

Archive Directory\COMPANY\TRANSACTION TYPE\YEAR\MONTH\DAY

COMPANY and MATERIAL TYPE are the application's internal identifiers. The transaction type of materials in Basware Banking or of internal transaction types are in plain text. However, the transaction types of external materials cannot be determined based on the directory's transaction type.
Note: If the archive directory is changed after the application has been used, the contents of the old directory must be manually copied as such to a new archive directory. This ensures that the old transactions can be opened from the archive.

Source Directory

The Source Directory defines the directory from which archival process retrieves files for archival.

The Archiving function can only archive files from a sub-directory of a source directory. You can define a sub-directory as the source directory of a transaction type on the Archive Transaction Types screen. Therefore, the source directory of the archive transaction type is always the sub-directory of the archive settings' source directory. However, if a UNC path is used when defining the source directory for the archive transaction type, then the entire directory path is assigned as the source directory for the Archive transaction type.

If the archive settings' source directory is changed, it is also necessary to change the settings of the external systems (including Basware Banking) so that they create archived material into the modified source directory.

Media Directory

Permanent archive transactions are stored as a permanent recording, which can be browsed through a web browser without additional applications. The Media Directory field defines the directory where the blank recording for the permanent archive is formed. For more information, see Permanent Archive and Archive Media.

Archiving Time

The archival of transactions processed in the workflow in the application is done automatically according to the defined settings. The Automatic Archival is executed at the time set in the archive settings, usually overnight. If there are many transactions to be archived, this may affect the application response times. According to the time defined in Settings, the materials saved into the archive source directory for other integrated products, such as Basware Banking, are archived as well.
