Posting Structure

Location: Settings > Posting Settings > Posting Structure

The posting structure can be created as a general structure, separately for each group of companies or company specifically. The general structure is in use if no company specific or company group specific structure is defined. If a company level structure is defined, this structure is used for that company without need for further settings.

In posting structure you can define the ledger account and the posting dimension fields. For a ledger account, a name and a maximum length of the account number is defined.

You can add new posting dimension fields with the New Row button. At most 20 different posting dimension fields can be defined. For a posting dimension, a name and a maximum length are defined. The posting dimension types Project and Posting function in the same way. The arrangement of posting dimensions can be changed by selecting a posting dimension and moving it up or down in the list with the arrow buttons.
Note:

Editing the posting structure usually requires changes both to external systems and to interface settings.

If transactions are transferred to Basware Banking, the posting structure must be compatible in both systems for the postings to be transferred correctly.

Transferring the Posting Structure

You can also transfer a posting structure to a company if the company uses a company group or a general level structure. Using the transfer, the user can create a detailed structure and define which of the earlier setting level's posting dimension matches the posting dimension of the new structure. This way it is possible, for example, to find, in the archive search, transactions that were previously archived, with posting dimension and account definitions, even when the posting structure has changed.

Transfer button opens the transfer window of the posting structure. The Transfer button is active, if the company does not have a structure and the company has transactions in workflow or in the archive.

The transfer window will show the setting level as the company for whom the posting structure is being transferred. The Posting Structure to be Transferred section will show the settings level, whose structure the company has used until now (the source level).

If pre-completed, the user will be shown the source level posting structure. You can change the structure and add or remove rows the same way as on the Posting Structure page. The Data to be Transferred is specified as new data on the row, regarding which the user must always make a selection. The user must select in the drop-down list either the <No Match> selection or one of the source structure posting dimensions.

By selecting <No Match> the posting dimension row has no connection to the posting dimensions of the source structure. This option is used when a new posting dimension field, that has not been used before, is set up for a company. When you want to transfer a posting dimension field from an earlier posting structure to a new structure, you need to select, from the Data To Be Transferred drop-down list, a posting dimension, that will be linked to a field of the new structure.

Pressing the Confirm button saves and updates data according to the new structure. After you have pressed the Confirm button, the relevant company will use the new structure and it will no longer be possible to return to the old structure, i.e. the Confirm function cannot be canceled, so the user must be sure about any changes made and selections regarding the transferred data.
