The Order Row and the Posting Data

Start creating requisition order rows by clicking New Row. The row comprises two tabs, Order Row and Posting. The New Row button will first open the Order Row tab. Posting tab can be viewed by clicking the Posting tab button.
Creating the Order Row
An order row can be based on a product group alone (order row type: Free Text), in which case the product data and other order row data must be entered manually. In order to create an order row, the Product Catalogs function must have at least one product catalog with at least one product group created.
An order row can also be based on a product selected from the product catalog (order row type: Product), in which case data for the order row is searched for from the product: For example, the product's basic data and price. Some of the data retrieved from the product cannot be transferred to the order row. Products are created under product groups in the Product Catalogs function.
You can add both Free Text and Product type order rows for the same requisition.
Order Row Data
Product Group | Select the product group with the Browse button. Required information. When you select a product from product and product group browsing, the product group is retrieved from the product data. |
Product | The name of the product or service to be ordered. Required information. You cannot change the name of the product if it has been retrieved from the product. |
Product Code | The product code or abbreviation of the product or service to be ordered. You cannot change the product code if it has been retrieved from the product. |
Default Supplier | The default supplier of the product to be ordered. The default supplier is retrieved from the product. |
Count | The amount of products to be ordered. Required information. When a receipt entry is made for a requisition, the Count field will also display values in gray for the order row's matched and received amounts. |
Unit | The unit of the product to be ordered, for example pcs. Required information that is retrieved from the product. |
Price | The tax-free unit price of the product to be ordered. The price is required information. The price must be greater than zero. You cannot change the price if it has been retrieved from the product and the product's price is greater than zero. |
Tax % | The tax rate of the product to be ordered. The tax rate is retrieved from the product. |
Net Amount | The application will calculate the total tax-free sum of the order row based on the amount of products and the tax-fee unit price. |
Tax Sum | The application will calculate the tax for the order row. The tax is calculated based on the tax rate entered in the Tax % field and the sum entered in the Net amount field. |
Total | The application will calculate the total sum of the order row including taxes in the order row currency. |
Posting Data
Account | The application will get the ledger account from the posting settings of the order row's Product Group. If no ledger account has been defined for the product group, enter or select a ledger account using the Browse button. |
Posting Dimension Values |
The application will search for posting dimension values primarily from the posting settings of the order row's Product Group, and secondarily from the organization structure, from the data of the person selected for the requisition on the member level, as well as from the data of the organization unit selected for the requisition on the unit level, and from the data of higher units. The posting dimensions entered for the organization structure will be used if Effects of Defaults– Requisitions has been ticked in the organization structure. If no default values are used in the product group or the organization structure, enter the data manually or select it using the Browse buttons. |
Tax Code | The application will get the tax code primarily from the posting settings of the order row's Product Group and secondarily from the default values of the ledger account. You can also enter the tax code manually, or select it using the Browse button. The tax calculation is performed in the purchase invoice posting according to the tax code when matching the purchase invoice to the requisition. In this case, the tax entries will be created in the purchase invoice posting according to the tax code settings. |
The order row and the posting data related to it is saved with the Save button. The posting data is checked as regards, for example, entry rules. Saving the order row always updates the transaction image and the default processors to match the current data of the requisition.
Matched Invoices
The Matched Invoices tab shows a list of the purchase invoices that have been matched with the requisition.
