Settings

Select the settings level by pressing the button.

E-mail messages regarding task lists are sent for the transactions of companies that fall under the workflow settings level, unless separate workflow settings have been specified for a lower settings level. Task lists of each company are sent with e-mail timing that is closest to the company's settings level.

When companies are located in several time zones, we recommend using e-mail timing on several settings level.

Workflow

This setting defines the working days. This setting affects, among other things, the calculation of processing times of purchase invoices. For more information, see Processing Time of Workflow Steps.

Web Server

In the Server Address field, enter the application's Web Server address that will be used when linking e-mail messages into the task list.

The SSL Encryption setting specifies whether to use the HTTPS protocol in e-mail links.

Mobile Server

The mobile interface is a paid license feature, and the workflow settings associated with the mobile interface are only available if the license contains this feature.

In the Server Address field, enter the application's Mobile Server address.- The Mobile Server address is required for linking e-mail messages into the mobile task list.

Mail Server

In the Server Address field, enter the application's mail server address. The mail server is used for delivering the e-mail messages sent by the application.

The Sender's Address field must contain a real e-mail address. For security reasons, many operators do not approve fake e-mail addresses as the sender address.

Log-on

Some e-mail servers require that in the e-mail settings, the mail server domain is mentioned. In addition, in some cases you must also login with a username.

E-mail Contents

The Add Link to Message setting is enabled as a default. If the setting is selected, a link opening the work list of transactions waiting for processing is included in the e-mail.

The Message Format setting affects the formatting of the message. Plain text only contains text. With HTML, for example, the footer and message are formatted differently.

In the Footer field, you can enter the text that will be used as the footer of all e-mail messages at the relevant organizational level. By default, the field contains a standard disclaimer statement.

Timings

Timings are used to define when e-mail messages are sent to transaction processors. Messages are sent to persons who have unprocessed transactions. A notification of the Informative Flow processing step is, however, only sent once. No messages are sent to persons that are marked as absent.

In the Error notifications section, you can define the person who will be notified via email if an error occurs with timing. For more information, see Error Situations in Timed Transactions.

With the Send Task Lists function, you can test whether sending e-mails works. The Send Task Lists function works the same way as timing on the workflow settings level in question, regardless of whether timing exists for that particular settings level. However, this function does not perform backup person processing. The transfer of transactions to a backup person is always done with the sending of a scheduled e-mail message. Use this function only when taking the application into use or after a change on the servers.

The Send Notification function enables sending e-mail notifications to the users of the application. The notification is sent to all users who have the access rights to the companies in the settings level specified on the Send Notification screen. E-mail recipients can also be limited by the user level, or the notification can be sent to the users of all user levels. The notification can be written in several languages. The language specified in the user's details in the application determines the primary notification language. Even if users have access rights to several companies in the specified settings level, they only receive one e-mail notification.
