Organization Units

Basic Data

An organization unit is added to the structure first by selecting the desired company or organization unit under which a new unit must be created, and then by clicking on the New Unit button.

The company's EDI ID is specified in the basic data of the organization unit. With help of this code, incoming electronic invoices can be directed directly to the desired organization unit.

Default values for the posting dimensions can also be defined in the unit's basic data. These default posting dimensions are used when posting the transaction, if the transaction is attached to the organization unit in question. For more information, see Automatic Posting of Purchase Invoices.

You can select a supervisor for a unit. The supervisor is the supervisor of the members of the unit. If the members of the unit have a processing limit, a transaction will be transferred to the supervisor for processing, if this has been specified, when a member's processing limit is too low for processing a transaction. The fields PO Box ID and Scanning ID are enabled when scanning service has been enabled in the company data. These fields are then used for recognizing/identifying units.

Default Processors

For organization units, default transaction processors can be defined on the Default Processors tab. For more information, see Defining Default Transaction Processors.

Allowed Accounts

On the Allowed Accounts tab, you can specify for the organization structure the ledger accounts, posting dimensions and tax codes that are allowed for users, on member level and individual level. These values are checked upon posting, so that a user cannot use values that are not allowed. Upon posting, a user can only see those values in his/her browsing window that are allowed for him/her. Also when entering values manually, this user can enter and save only those values that are allowed for him/her.

Allowed values can be specified on organization unit, sub-unit and/or member level.
  • If allowed values are defined at the member level so that the values are restricted, only the limits in the member data are taken into account.
  • If there are no limited values on the member level, allowed values are checked from the organization unit that has been selected for the transaction. If the selected unit has no limits, the limits of a unit above the unit in question will be used. If no unit has been selected for a transaction or no limits can be found through the selected unit, the user will see all values in posting.
  • The limits of organization units and members in one company do not affect another company's transactions.

Deletion of a Unit

An organization unit can be deleted from the organization structure by selecting the unit and by clicking on the Delete button.

If application internal unarchived transactions are found in an organization unit that will be deleted, the user will be asked, during deletion, for a replacement unit. As the replacement unit, it is possible to choose another organization unit of the company or the company from which the unit was deleted.

The transactions of the deleted organization unit are transferred to the selected replacing unit or company. If the deleted unit has members, the user is asked whether these members must also be transferred to the replacing unit or company.
