Forming the Archive Media

You can use the archive search results to create an archive media. An archive media is an independent, browsable HTML file on a CD/DVD or on the server’s disc. Transactions for the created archive media are selected on the basis of the search criteria entered in the archive search.
The archive search results can be used to create archive media. The desired file type and search terms limit the formed content. Archive media can only contain already archived transactions. If the State selection, on the Transaction Type tab of the archive search, is set as Archived (i.e. the archive search applies only to archived transactions, not transaction in the workflow), you can select Archive Media in the Printout.list of the search result.
Forming the Archive Media
When you select Archive Media from the list and press the Printout button the Form Archive Media window opens:
- The description will be on the archive media. This can be used to name or describe the archive media.
- Media Directory is the application server's installation directory where the HTML site to be generated is saved. It is the directory to be transferred to a CD/DVD media or any other desired location. The media directory is specified on the .
- With the Include Confidential Attachment to Archive media selection you can specify whether you want the confidential attachments included in the archive media.
- The Return function is used to return to the results page of the archive search.
- Once the archive media folder has been created, a notification can be sent by e-mail. The notification is sent to the user that initiated the forming of the archive media.
- The Create function initiates the forming of the archive media.
Formed Archive Media
The formed archive media can be seen in the function
. On this selection screen, you can choose if you wish to display permanent archives, formed archive media or both. The default selection is Both.- The data that can be displayed in the Type column states whether permanent archiving or an archive media is involved (PA = permanent archiving, AM = archive media).
- The Company column opens a link to the files in the archive in question. The title of this page is displayed as "Permanent Archive" if the relevant transaction is a permanent archive transaction. If it is an archive media, the title is displayed as "Archive Media".
Incomplete archive media formations can be shown using the function Pending Permanent Archiving. The Type column indicates whether it is a permanent archive or an archive media formation (PA = permanent archive, AM = archive media).
Transactions of which an archive media is created are not marked as permanently archived. Therefore, a permanent archive has to be created separately for these transactions.
