Closing a Requisition Transaction

Closing a Transaction When No Order Is Made.
During the Order step, a transaction can be manually closed, if no order is made. A transaction is closed by clicking the Close Transaction button. Once a transaction has been closed, no more orders can be made. By closing a requisition, it can be moved to the approval workflow and archived, if the requisition needs to be made retrospectively, for example relating to a product that has already been requisitioned.
When closing a transaction you need to enter a comment. In this case, the Comment window displays the following notification:
"Transaction is closed. Once you have closed the transaction, you cannot create an order."
After closing, the transaction status is Matched.
Closing a Transaction When a Delivery Is Not Received
A transaction can be manually closed during the Receipt step by clicking Close Transaction, if it is unnecessary, for example if the order has not led to a delivery. The order rows of the transaction are closed, and no more items can be marked as received. An invoice cannot be matched with unreceived rows.
The following types of transactions can be closed:
- If nothing has been marked as received, i.e., if the order has not led to a delivery. The transaction will be closed and no invoice is expected for it.
- If the transaction has been partially received so that only part of the order rows have been marked as received and part of the rows have not been delivered at all. An invoice can be expected for the order rows marked as received.
- If the transaction has been partially received so that only part of the amount ordered on the order row(s) has been marked as received. An invoice can be expected for the amounts on the order rows marked as received.
If the transaction has been closed by the user, a comment is mandatory. In this case, the Comment window displays the following notification:
"Closing the transaction closes order lines and prevents the receipt of items."
Once the transaction has been closed, its status is Received, if at least one item has been marked as received for the transaction. If nothing has been marked as received for the transaction, closing it will change its status to Matched.
