Purchase Invoices
Electronic invoices and invoices in .pdf format are read into the application on the Reading Purchase Invoices page. Data is not recognized from invoices in .pdf format. The person saving the invoices must enter all of the data. For invoices coming through reading e-invoices, data that the e-invoice material does not contain must be added.
You can view all the purchase invoices in the application on the Process Purchase Invoices page. Using the Status drop-down menu you can select purchase invoices that have a particular status. Invoices that are waiting for data completion and saving are shown with the Incomplete status. Invoices with the Data Incomplete status are not shown on the workflow related pages Workflow Control and Task List.
Purchase invoices are automatically archived after a specific time. When a purchase invoice is archived, it will no longer be shown on the Processing Purchase Invoices page and the pages connected to workflow. The invoice data can still be examined via an archive search. Invoices that are still being processed can also be examined by means of an archive search.
You can save and edit invoice data on the Create Purchase Invoice page that opens from the Processing Purchase Invoices page. If needed, the invoice can also be posted upon saving.
Purchase invoices can be transferred to workflow automatically or the workflow can be defined by user.
- Automatic workflow requires that the purchase invoice Workflow Steps of Transactions screen specifies the location from which default processors are retrieved for transactions and that default processors have been specified in that location.
- Users can also add a processor for an invoice. If processing a specific invoice does not require all processing steps, the unnecessary steps can be disabled. Before complete approval of the transaction, approval is needed for all separate steps of the transaction that are not disabled.
