License Management
The application license limits the following:
- The number of companies
- The number of users
- The number of languages used
- The number of scanning workstations
The license defines which of the following features are enabled:
- Purchase Invoices
- Travel claims
- Open archive
- Contracts
- Accounting Firm
- Requisitions
For the connections, the license determines whether a connection to the purchase system and to the ordering system is in use. It also determines if the interface for an open archive search is in use.
The license states the number of users/persons. The following user levels exist:
- Administrators (includes both travel claim and purchase invoice administrators)
- Purchase invoice processors
- Travel claim processors
- Persons
The Administrator has rights to all functions that are listed in his/her user profile. The rights of an administrator can be limited in his user profile. So even though a user is an administrator, this user's user profile can be set, for example, to be the same as the user profile for purchase invoices approvers. This user occupies one administrator license independent of the rights in his user profile.
An administrator has rights to all functions of the selected user profile. Other users do not see functions that require a user to be at the administrator level.
Purchase invoice processors are users who have the access rights for processing purchase invoices and requisitions. Users who are not purchase invoice processors cannot access or see the functions in the Contracts and Purchase Invoices menus.
Travel claim processors are users who save their own or other people's travel claims and travel plans. If a user is not a Travel claim processor, this user cannot access or even see the functions in the Travel Plans and Travel and Expense Claims menus.
Persons are not users in the application, but individuals for whom travel claims can be saved by actual users. A person does not have to be a company person but also a person external to the company to whom daily allowances and other allowances are paid.
In connection with expansion of the use of the application, a new license file delivered by the software supplier is read. Enable the license by selecting
. The new license must be saved on a disk that is available on the workstation from which the change is made. After reading the license, the browser automatically closes. The new license is valid immediately upon the next logon. When saving the license, it is recommended that users have logged out of the application.About This Program window shows information such as the software license, version number, and the date of the latest updates. The screen also contains the number of users input into the application by user levels and the license numbers of user levels.
