Permanent Archive and Archive Media
Creation of a Permanent Archive
In permanent archiving, transactions are saved as permanent records that can be browsed using just a Web browser without any other applications. Permanent archiving does not remove data from the archive; the data is still browsable from the archive as usual.
Transactions that are to be archived permanently are selected from the archive by company, transaction type, voucher date, or by other selection criteria. The size of the storage medium that is used can limit the number of transactions that can be archived permanently in one single step.
In permanent archiving, the application forms a blank for storing the permanent archive in the directory according to the settings. The storage is done after the blank is ready with a separate external auxiliary program, depending on the storage medium. Depending on the storage medium, it may be advisable to ensure preservation of the data by storing the permanent archive formed by the archive on several different media.
Upon completion of saving or burning, the medium is checked by various inspection runs. The inspection run ensures the integrity of the saved data. It can also be performed later. An inspection run is started from the data page of a permanent archive. Upon completion of the inspection, a time stamp is saved to the data of the permanent archive.
A transaction that has been permanently archived does not automatically leave the archive, but the data can be saved both in the permanent archive and in an application archive that can be searched faster.
Archive media can be created from the results of an archive search. An archive media is an independent, browsable HTML file on a CD/DVD or on the server’s disc. Transactions for the created archive media are selected on the basis of the search criteria entered in the archive search. Transactions of which an archive media is created are not marked as permanently archived. Therefore, a permanent archive has to be created separately for these transactions.
